Privacy Policy

Who we are

Lark is operated by Check Lark, Inc., a California corporation with its registered office at 1158 San Rafael Drive, Petaluma, CA 94954, USA. For data protection purposes we are the controller of the personal data described below. You can reach us at natalee@checklark.com.

What we collect

• Account data. Your name, email address, password hash or Google sign-in identifier, and the agency you belong to.
• Data you enter. The clients, speakers, shortlists, notes, and pitch statuses you create in Lark. This can include personal data about other people — for example a speaker's name, biography, or past talks. You decide what goes in.
• Billing data. Your plan, seat count, billing email, country, and VAT number where you give one. Card details go straight to our payment processor. We never see or store your card number.
• Usage data. Pages viewed, features used, searches run, approximate location from your IP address, browser and device type, and error reports.
• Messages. Anything you send us by email or support request.

Lark's event directory is built from publicly available sources such as conference websites and call-for-speakers pages. Where those pages name organisers or past speakers, that information sits in the directory as published.

Why we use it

• To run the service, keep your account secure, and show you your data.
• To take payment, handle tax, and send invoices and renewal notices.
• To generate AI reports, search results, and recommendations you ask for.
• To improve Lark — understanding which features get used and where people get stuck.
• To send service emails, and marketing email only where you have opted in.
• To meet legal, accounting, and security obligations.

We do not sell personal data, and we do not use the data you enter in Lark to train AI models.

Legal bases (UK and EU users)

Where the UK GDPR or EU GDPR applies, we rely on: performance of a contract (running the service and billing you); legitimate interests (improving the product, keeping it secure, and preventing abuse); consent (marketing email and non-essential analytics cookies, which you can withdraw at any time); and legal obligation (tax and accounting records).

Who we share it with

We share personal data with service providers who process it on our instructions, under contract, and only for the purposes below:

• Cloud hosting and database providers, who store and serve your account and content data
• Our payment processor, who handles card payments, tax, and invoicing
• Product analytics providers, who tell us which features get used
• Identity providers, where you choose to sign in with an existing account
• AI model providers, who process the prompts behind reports, search, speaker research and matching
• Professional advisers such as our accountants and lawyers, where needed

Every one of them is bound by a written agreement to process data only on our instructions and to keep it secure. If you need the current list of named providers — for your own records, a vendor review, or a data processing agreement — email natalee@checklark.com and we will send it.

We may also disclose data where the law requires it, to protect our rights or the safety of others, or to a buyer if the business is sold — in which case this policy continues to apply until you are told otherwise.

International transfers

Our systems are hosted in the United States. If you are in the UK, EEA, or Switzerland, your data will be transferred there. Those transfers rely on the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum, together with technical safeguards such as encryption in transit and at rest.

How long we keep it

Account and content data is kept while your account is active. If you close your account we delete or anonymise it within 90 days, except where we must keep records longer — billing and tax records are kept for seven years. Backups roll off within 35 days.

Your rights

Depending on where you live, you can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or send it to another provider. You can also withdraw consent for marketing at any time. California residents have the right to know what we collect, to delete it, to correct it, and not to be discriminated against for exercising those rights. We do not sell or share personal information for cross-context behavioural advertising.

Email natalee@checklark.com and we will respond within 30 days. If you are not satisfied, you can complain to your local data protection authority — in the UK, the Information Commissioner's Office.

Security

Data is encrypted in transit and at rest. Access to production systems is limited to staff who need it and protected by multi-factor authentication. Row-level security keeps each agency's data separate. No system is perfectly secure, but if a breach affects your personal data we will notify you and the relevant regulator as the law requires.

Cookies

We use cookies and similar storage to keep you signed in, remember your preferences, and measure product usage. Sign-in cookies are essential — the service will not work without them. Analytics cookies are optional and you can block them in your browser without losing access to Lark. We do not use advertising cookies.

Children

Lark is a business tool and is not intended for anyone under 16. We do not knowingly collect data from children. If you think a child has given us data, email us and we will delete it.

Changes to this policy

We will update this page when our practices change and move the date at the top. If a change materially affects you, we will email account holders before it takes effect.
